1. Webhook trigger
The field application — FieldAXIS, a custom CRM, or a mobile form — sends a JSON payload when status changes to "complete." Typical fields: dealer ID, rep ID, visit timestamp, notes, and optional GPS metadata. The automation platform receives this via HTTPS POST.
2. Route and enrich (agent hub)
A central logic node pulls context before any message is sent. In parallel it queries:
- Dealer master data (Google Sheets or Airtable) for contact details and channel preference
- CRM (HubSpot) to append an activity record
- Optional visit archive table for audit
Dashed connections in the workflow diagram represent these lookups — they feed the hub without blocking the main path.
3. Channel branch
An IF node checks whether the dealer record includes a valid WhatsApp number. If yes, the WhatsApp Business API sends a templated message summarising the visit. If not, Gmail sends the equivalent by email. This branch prevents workflows from failing silently when contact data is incomplete.
4. Team notification
Slack receives a concise alert: rep name, dealer name, channel used, and timestamp. Managers gain same-day visibility without asking "did you inform them?"
5. Reporting row
A final append to Google Sheets (or your BI source) creates a row per visit notification. Month-end reporting stops being reconstruction.
What the dealer receives
Messages should be factual and short — not marketing copy. A typical template:
Key Insight
Visit completed by [Rep] on [Date]. Topics discussed: [Notes]. For orders or support, reply here or call [Number].
Template approval through WhatsApp Business API is required before production. TezBytes scopes message copy and handles Meta template submission as part of delivery.
Integration requirements
| System | Role |
|---|
| Field app / FieldAXIS | Emits visit-complete webhook |
| Google Sheets or Airtable | Dealer directory and reporting |
| HubSpot | Activity log and contact history |
| WhatsApp Business API | Primary dealer channel |
| Gmail | Fallback when WhatsApp unavailable |
| Slack | Internal alert |
Businesses without HubSpot can substitute Zoho CRM, Pipedrive, or a sheet-only model. The pattern stays identical; only the connectors change.
Failure modes to design for
- Missing dealer record — route to a "data quality" Slack channel instead of failing silently.
- WhatsApp template rejection — keep email fallback live from day one.
- Duplicate webhooks — deduplicate by visit ID so a double-tap in the app does not send two messages.
Scope and delivery
A single-trigger visit workflow with one channel branch typically starts around ₹8,000 scoped and documented. Multi-branch flows (credit hold checks, order suggestions, regional routing) are quoted separately after an Ops Audit or discovery call.
The interactive workflow on the Automations page shows this exact graph. FieldAXIS customers often use visit-complete as their first automation because the trigger already exists in the product.
